Why should I register my Organisation?

 

By means of registering your Organisation as an identifiable entity for the purpose of eID you will be able to make use of all Organisation Services which allow Organisations to interact with the respective Service Providers through their online electronic service. These services will be made available from within the subscribedservices Portal.

What do I need to do to register an organisation?

 

In order to register your Organisation you firstly have to appoint an Organisation Manager for your Organisation. If the chosen Organisation Manager is not an eCitizen it is important that he/she applies for a personal eID and a personal digital certificate prior to starting the Organisation registration process. Once the Organisation Manager becomes an eCitizen and is in possession of a digital certificate he/she can then start the Organisation registration process. How to Register an Organisation?


You must have an e-ID and a digital certificate in order to be able to register an organisation. The e-ID, or electronic identity, is a trusted authentication mechanism for citizens and businesses to identify themselves and access services electronically from across government. To register an organisation through e-ID, follow the guidelines below:

STEP 1 – Submit an online Organisation Registration Request (ORR).

  1. Visit the website http://www.subscribedservices.gov.mt
  2. Enter your e-ID username and password.
  3. Click on ‘Sign In’.
  4. Follow the steps below to submit an online Organisation Registration Request which is available through your Profile using the Digital Certificate.
    1. Select the ‘Register an Organisation’ option found under the ‘My Services’ menu as shown in figure 1

    2. Click on the Register link next to Registered Organisation to start the Organisation Registration Process.

    3. Upon clicking the Register Link, the Organsiation Services Information page is displayed as shown in figure 3 below.

    4. At this point click the 'I understand and accept the above information' checkbox and click on Next as in figure 4.

    5. In the Register Organisation page enter all the relevant details, all fields marked with a * are required.

    6. After completing all the fields and adding any Additional Comments click Submit button as shown in figure 6.

    7. If all fields have been populated successfuly, a confirmation dialog will appear at the top of the page as shown in figure 7.

    At this point the Organisation Registration Request (ORR) is successfully completed.
STEP 2 – Send to the Registration Authority the necessary documentation

Once you have submitted the online Organisation Registration Request you also need to submit the Organisation Services Agreement together with an Organisation Resolution, which need to be adequately filled in, signed and sent by mail to the Registration Authority.

 

STEP 3 – Receive email from Registration Authority.

The Registration Authority will contact you by email once your application has been processed.

 

What documents do I need to register my Organisation?


The documents required for registering your Organisation are as follows:

MFSA Registered Organisation Registered Organisation – Registrar for Legal Persons Notified Organisations with the Registrar for Legal Persons
  1. The Online Organisation Application.
  2. The Organisation Services Agreement including VAT Information.
  3. The Organisation Resolution or an Extract of Board Minutes.

  4. A copy of the Certificate issued by the Registrar for Legal Persons

What are the different types of Organisations that may be registered through eID?

The different types of Identifiable Entities that may apply to be recognized as Organisations for the purpose of e-ID are: -

those Organisations whose Legal Personality is established through registration with the MFSA. Such Organisations include but are not limited to Public Limited Liability Companies, Private Limited Liability Companies, Private Exempt Companies, Single Member Companies, Partnerships en commandite, Partnership en nom collectif, SICAVs, INVCOs;

those Organisations whose Legal Personality is established through registration with the Registrar for Legal Persons within the Land and Public Registry Division. Such Organisations include but are not limited to Civil Partnerships, Foundations;

legal Entities who are not registered with either one of the above mentioned Official Registers but have place a notification with the Registrar for Legal Persons – Notified Organisations,  may apply to be recognized as Organisations for the purpose of the e-ID.  These include but are not limited to Civil Partnerships.

What is an Organisation Manager?

 

An Organisation Manager shall be an eCitizen who is appointed by the Organisation and made responsible for the management and administration of the Organisation’s Digital Identity through the functionality made available by means of an Organisation Manager Profile enabled within his/her Electronic Identity Account.

How many Organisation Managers can I appoint?

 

An Organisation can appoint multiple Organisation Managers. Only the first Organisation Manager needs to complete the online Organisation Registration Request. The rest are appointed by a Legal Representative of the Organisation through the submission of an Organisation Services Agreement and an Organisation Resolution. The latter documents are to be sent by mail to the Registration Authority.

What is an Organisation Employee?

 

An Organisation Employee is an eCitizen who is appointed to act on behalf of an Organisation through the functionality made available by means of an Organisation Employee Profile enabled within his/her Electronic Identity Account.

How do I appoint an Organisation Employee?

 

An Organisation Manager can appoint an Organisation Employee online by means of using the Organisation Management Service through his/her own Organisation Manager Profile.

How many Organisation Employees can I appoint?

 

An Organisation can appoint multiple Organisation Employees, each of which can be assigned authorised by the Organisation Manager to access and use some eServices on behalf of the Organisation.

What is a Legal Representative?

 

A Legal Representative is appointed by a legal person through a legally binding and valid declaration or resolution to sign an Organisation Services Agreement (between the Identifiable Entity, the eCitizen who will be acting as an Organisation Manager for the Identifiable Entity and the Registration Authority), for and behalf of the legal person.
